Inventory Module

The Inventory Module is an integral part of the SaaS accounting software, providing comprehensive tools to manage an organization’s inventory. This module includes functionalities for handling products, adjustments, transfers, and production processes, ensuring efficient inventory management and smooth business operations.

1. Products

Manage all the products in your inventory with ease.

Product List

  1. Navigate to the Products section in the Inventory Module.
  2. Goods and Services can be accessed based on the tab selected to display the products under respective tab.
  3. Import Products: Products can be imported into the system based on the provided template format.
  4. Search Products: Products can be searched from the list based on the data provided.

Export Product List

  1. Navigate to the Products section.
  2. Click on the Actions dropdown.
  3. Click on Export XLSX: to export all the list of the goods/services in Excel Format.
  4. Click on Export PDF: to export all the list of the goods/services in PDF Format.
  5. Choose the desired export format to generate the list.

Add a Product

  1. Navigate to the Products section in the Inventory Module.
  2. Click on the Add Product button.
  3. A pop-up form will be displayed, where Product Name, Barcode Symbology, Barcode, HS Code, Category, Brand, Product Type (Goods/Services), Product Cost, Product Price, Unit, Sale Unit, Purchase Unit, Stock Alert, Order Tax and Product Image can be uploaded.
  4. Category, Brand and Unit can be added during product addition by simply clicking on the (+) button on respective fields.
  5. Click Save to add the product to your inventory.

Edit a Product

  1. Navigate to the Products section.
  2. Locate the product you wish to edit and click on it.
  3. Click the Edit button in the product details page to open Edit Product Form.
  4. Update the necessary details.
  5. Click Save to apply the changes.

View Product Details

  1. Navigate to the Products section.
  2. Click on the respective product row to view detailed information.
  3. All the related information regarding the product will be displayed in left hand, which includes HS Code, Selling Price, Cost Price, Tax, Primary Unit, Chart of Account and Creation details.
  4. In the overview tab, Opening Balance, Total Debit Transactions, Total Credit Transactions and Closing Balance is displayed at the top. A table consisting of all the recent transactions is also presented.
  5. Reports regarding product movement can be accessed by clicking on View Product Movement and inventory ledger can be accessed by clicking on View More button in Recent Transactions.

2. Adjustments

Handle changes in inventory levels due to damages, losses, or other reasons.

Adjustment List

  1. Navigate to the Adjustment section in the Inventory Module.
  2. All the adjustments added to the system are displayed with tabs to filter approved and draft adjustments.
  3. Search Adjustments: Adjustments can be searched from the list based on the data provided.

Export Adjustment Records

  1. Navigate to the Adjustments section.
  2. Click on the Actions dropdown.
  3. Click on Export XLSX: to export all the list of the adjustments in Excel Format.
  4. Click on Export PDF: to export all the list of the adjustments in PDF Format.
  5. Choose the desired export format to generate the list.

Add an Adjustment

  1. Navigate to the Adjustments section.
  2. Click on Add Adjustment.
  3. Select the warehouse for which adjustment needs to be created.
  4. Select the product from the list of available products for the warehouse selected.
  5. Enter the Quantity, Rate and Type of Adjustment to be made into the system.
  6. Multiple items can be added to the adjustment following steps from Step 4
  7. Enter Note to the adjustment to be created. (Optional)
  8. Click Save to add adjustment into the system.

Approve an Adjustment

  1. Navigate to the Adjustments section.
  2. Click on Draft Tab to display all the Pending Adjustments.
  3. Click on the adjustment you wish to approve.
  4. Click on Approve Adjustment button in the top or from the Actions Tab.

  1. Navigate to the Adjustments section.
  2. Locate the adjustment you wish to edit and click on it.
  3. Click the Edit button in the adjustment details page to open Edit Adjustment Form.
  4. Update the necessary details.
  5. Click Save to apply the changes.

View Adjustment Details

  1. Navigate to the Adjustments section.
  2. Click on an adjustment entry to view its details.
  3. Information regarding the adjustment will be displayed in left hand, which includes Adjustment Code, Creation Details and Approved Details.
  4. Details regarding the product quantity, rate and adjustment type is displayed in right side. The adjustment can be downloaded/printed by clicking on Print Preview.
  5. Click on Actions dropdown to Edit, Duplicate or Void the adjustment.

Void an Adjustment

  1. Locate the adjustment entry.
  2. Click on an adjustment entry to view its details.
  3. Click the Actions dropdown and click on Void button.
  4. Enter the reason for void and click on Confirm action in the prompt.

3. Transfers

Streamline the movement of inventory between locations.

Transfers List

  1. Navigate to the Transfer section in the Inventory Module.
  2. All the transfers added to the system are displayed with tabs to filter approved and draft adjustments.
  3. Search Transfers: Transfers can be searched from the list based on the data provided.

Export Transfer Orders

  1. Navigate to the Transfers section.
  2. Click on the Actions dropdown.
  3. Click on Export XLSX: to export all the list of the transfers in Excel Format.
  4. Click on Export PDF: to export all the list of the transfers in PDF Format.
  5. Choose the desired export format to generate the list.

Add a Transfer

  1. Navigate to the Transfer section.
  2. Click on Add Transfer.
  3. Select the date for which the transferred needs to be added.
  4. Select the warehouse from which transfer is initiated and to warehouse where product is transferred to.
  5. Select the product from the list of available products for the warehouse selected.
  6. Enter the Quantity, Rate, Discount and Tax Type of the selected product.
  7. Multiple items can be added to the transfer following steps from Step 4
  8. Enter Note to the transfer to be created. (Optional)
  9. Click Save to add transfer into the system.

Approve a Transfer

  1. Navigate to the Transfer section.
  2. Click on Draft Tab to display all the Pending Transfers.
  3. Click on the transfer you wish to approve.
  4. Click on Approve Transfer button in the top or from the Actions Tab.

Edit a Transfer

  1. Navigate to the Transfers section.
  2. Locate the transfer you wish to edit and click on it.
  3. Click the Edit button in the transfer details page to open Edit Transfer Form.
  4. Update the necessary details.
  5. Click Save to apply the changes.

View Transfer Details

  1. Navigate to the Transfers section.
  2. Click on an transfer entry to view its details.
  3. Information regarding the transfer will be displayed in left hand, which includes Transfer Code, Creation Details and Approved Details.
  4. Details regarding the product quantity, rate ,discount and tax type is displayed in right side.
  5. The transfer can be downloaded/printed by clicking on Print Preview.
  6. Click on Actions dropdown to Edit, Duplicate or Void the transfer.

Void a Transfer

  1. Locate the transfer entry.
  2. Click on an transfer entry to view its details.
  3. Click the Actions dropdown and click on Void button.
  4. Enter the reason for void and click on Confirm action in the prompt.

4. Units

Define and manage measurement units for your inventory.

Unit List

  1. Navigate to the Unit section in the Inventory Module.
  2. All the units added to the system are displayed.

Add a Unit

  1. Navigate to the Units section.
  2. Click on Add Unit.
  3. Enter the unit name, short name.
  4. Select Base Unit (If Applicable) and enter operator and operation value.
  5. Save the unit.

  2. Click on Action dropdown and click Edit.
  3. Update the unit details and save.

5. Brands

Organize your inventory by brand.

  1. Navigate to the Brand section in the Inventory Module.
  2. All the brands added to the system are displayed.

Add a Brand

  1. Navigate to the Brands section.
  2. Click on Add Brand.
  3. Enter name, description and upload image (if applicable)
  4. Click on Save.

  1. Go to the Brands section.
  2. Click on Action dropdown and click Edit.
  3. Update the brand details and save.

6. Categories

Segment your inventory into categories for easy navigation.

  1. Navigate to the Categories section in the Inventory Module.
  2. All the categories added to the system are displayed.

Add a Category

  1. Navigate to the Categories section.
  2. Click on Add Category.
  3. Enter Category code and Category Name.
  4. Click on Submit.

  1. Go to the Categories section.
  2. Click on Action dropdown and click Edit.
  3. Update the category details and save.

7. Bill of Materials (BOM)

Simplify production planning by managing raw materials and components.

  1. Navigate to the Bill of Materials section in the Inventory Module.
  2. All the bill of materials added to the system are displayed.

Add a BOM

  1. Navigate to the Bill of Materials section.
  2. Click on Add BOM.
  3. Select Product from list of available products then specify output quantity of the product.
  4. Toogle if the BOM needs to be created on each sale.
  5. Select Raw Materials from list of available products then specify output quantity of the raw material (Can add multiple).
  6. Select By Product from list of available products then specify output quantity of the by product (Can add multiple).
  7. Select Production Expense from list of available production costs then specify expense for the production. (Can add multiple).
  8. Enter Note if applicable.
  9. Click on Submit to Save the BOM.

  1. Navigate to the Bill of Materials section.
  2. Click on Draft Tab to display all the Pending BOM.
  3. Click on the bom you wish to approve.
  4. Click on Approve BOM button in the top or from the Actions Tab.

  2. Select the BOM and click Edit.
  3. Update the details and save.

  2. Click on an bom entry to view its details.
  3. Click the Actions dropdown and click on Void button.
  4. Enter the reason for void and click on Confirm action in the prompt.

8. Production Order

Manage and track production activities effectively.

  1. Navigate to the Production Order section in the Inventory Module.
  2. All the Production Orders added to the system are displayed with tabs to filter approved and draft production orders.

Add a Production Order

  1. Navigate to the Production Order section.
  2. Click on Add Production Order.
  3. Select Date of production order and reference (if applicable).
  4. Select Product from list of available products then specify output quantity of the product.
  5. Select Raw Materials from list of available products then specify output quantity of the raw material (Can add multiple).
  6. Select By Product from list of available products then specify output quantity of the by product (Can add multiple).
  7. Select Production Expense from list of available production costs then specify expense for the production. (Can add multiple).
  8. Enter Note if applicable.
  9. Click on Submit to Save the BOM.

  1. Navigate to the Production Orders section.
  2. Click on Draft Tab to display all the Pending Production Orders.
  3. Click on the bom you wish to approve.
  4. Click on Approve Production Order button in the top or from the Actions Tab.

  2. Click on an production entry to view its details.
  3. Click Actions and choose Print.

9. Production Journal

Record all production-related activities and outcomes.

  1. Navigate to the Production Journal section in the Inventory Module.
  2. All the Production Journals added to the system are displayed with tabs to filter approved and draft production orders.

Add a Production Journal Entry

  1. Navigate to the Production Journal section.
  2. Click on Add Production Journal.
  3. Select Date of production journal and reference (if applicable).
  4. Click Load BOM (If applicable) which loads the bom for the provided product based on the quantity.
  5. Select Product from list of available products then specify output quantity of the product.
  6. Select Raw Materials from list of available products then specify output quantity of the raw material (Can add multiple).
  7. Select By Product from list of available products then specify output quantity of the by product (Can add multiple).
  8. Select Production Expense from list of available production costs then specify expense for the production. (Can add multiple).
  9. Enter Note if applicable.
  10. Click on Submit to Save the BOM.
